Ethical Sourcing Policy

1. Introduction

At Meelmore, we believe the quality of our garments is inseparable from the values behind their creation. We are committed to sourcing and producing uniforms and branded apparel in a manner that upholds human dignity, environmental responsibility, and ethical business practices.

This Ethical Sourcing Policy outlines the minimum requirements we expect from all our suppliers and partners. These principles apply to all levels of our supply chain — from fabric mills to final garment finishing — and reflect our ongoing commitment to integrity, transparency, and sustainable growth.

2. Our Commitments

Meelmore Textiles Ltd expects its suppliers to:

  • Comply with all relevant local and international laws and regulations

  • Operate with honesty, fairness, and professionalism

  • Respect human rights and provide safe, dignified working conditions

  • Demonstrate continuous improvement and transparency in ethical performance

  • Provide full access to facilities, documentation, and audits when required

Our policy is informed by the International Labour Organization (ILO) Core Conventions, the UN Universal Declaration of Human Rights, and the Modern Slavery Act 2015.

3. Labour Standards and Human Rights

Child Labour

  • No child labour is permitted under any circumstances.

  • All workers must meet the minimum legal employment age in their country of work, or ILO standards — whichever is higher.

  • No person under the age of 18 may be engaged in hazardous work or night shifts.

Forced Labour

  • All labour must be freely chosen.

  • Workers must not be required to lodge deposits or hand over identity papers.

  • No forced, bonded, prison or trafficked labour is permitted.

Wages and Working Hours

  • Wages must meet or exceed legal minimums and must be paid promptly.

  • All employees must be clearly informed of their pay, hours, and conditions.

  • Overtime must be voluntary, limited, and fairly compensated.

Freedom of Association

  • Workers must have the right to form or join trade unions and engage in collective bargaining.

  • Where freedom of association is legally restricted, suppliers must allow alternative means for representation.

Non-Discrimination and Respect

  • No worker shall be subject to discrimination, harassment, or abuse based on gender, ethnicity, religion, age, disability, or political beliefs.

  • A culture of mutual respect and equal opportunity must be maintained at all times.

 

4. Health, Safety and Welfare

Suppliers must:

  • Provide a safe, hygienic, and legally compliant working environment

  • Conduct risk assessments and provide training on health and safety practices

  • Ensure safe use of equipment, emergency exits, protective equipment, and clean facilities

  • Provide access to potable water, clean restrooms, and adequate break areas

  • Ensure any accommodation provided is safe, sanitary, and secure

 

5. Environmental Stewardship

We expect all suppliers to:

  • Comply with all environmental legislation applicable in their country of operation

  • Manage environmental risks and work to minimise pollution, emissions, and waste

  • Avoid harmful chemicals banned under REACH or other applicable regulations

  • Ensure proper handling and disposal of dyes, solvents, and wastewater

  • Monitor and reduce carbon, energy, and water usage wherever possible

Meelmore prohibits the use of sandblasting and does not support the use of cotton from Uzbekistan due to human rights concerns.

 

6. Business Ethics

  • All forms of bribery, corruption, kickbacks, or fraudulent behaviour are strictly prohibited.

  • Suppliers must notify Meelmore of any potential conflicts of interest.

  • Intellectual property, design specifications, and confidential business information must be protected and only used for authorised purposes.

  • Subcontracting is not permitted without prior written approval from Meelmore and may be subject to additional audits.

 

7. Transparency and Audit Compliance

Suppliers must be open and cooperative with any Meelmore audit, third-party inspection, or due diligence request. This includes:

  • Full access to facilities and records

  • Accurate, honest self-assessments

  • Clear traceability of raw materials and production stages

Suppliers are encouraged to join platforms such as SEDEX or equivalent systems to demonstrate and track ethical performance.

 

8. Breaches and Corrective Action

Failure to comply with this policy may result in:

  • Suspension or cancellation of purchase orders

  • Termination of the supplier relationship

  • Formal corrective action plans with clearly defined deadlines

Critical or repeated violations — especially those related to child labour, forced labour, or unsafe conditions — will result in immediate disengagement.

 

9. Continuous Improvement

Meelmore believes in long-term partnerships and supports suppliers in improving standards across people, process, and environment. We view ethical sourcing not as a checkbox, but as a journey — one that reflects the integrity behind every garment we produce.
